How to Share NotebookLM: Viewer, Editor, Public Link & Allow Copies
Share a NotebookLM notebook safely: Viewer vs Editor, Anyone-with-a-link public access, Chat View caveats, Allow copies, Play Books limits, and 7-day analytics.
People searching “how to share NotebookLM,” “NotebookLM Viewer vs Editor,” “NotebookLM public link,” or “Gemini Notebook Allow copies” usually already have a notebook—they need a safe delivery playbook: who can see Sources, who can edit, when a public link is enough, and when Allow copies is the right lever.
This guide is the collaboration twin of our Video Overview workflow (updated for Short’s 70+ languages vs Cinematic English-only) and the workplace workflows piece. Here the intent is different: how to share a NotebookLM notebook—private Viewer / Editor invites, Anyone-with-a-link public access, Chat View caveats, Allow copies, Play Books limits, and seven-day analytics. Facts follow Google Help and are subject to change.
It also pairs with the flexible usage limits guide: sharing a notebook does not raise another collaborator’s compute or Sources ceilings—each account still spends its own budget.
1. Viewer vs Editor: what each role can actually do
Open the notebook → Share → add an email and choose a role. Help Center defines the split clearly:
| Capability | Viewer | Editor | Owner |
|---|---|---|---|
| Read Sources & notes | Yes (read-only) | Yes | Yes |
| Add / remove Sources & notes | No | Yes | Yes |
| Share further with others | No | Yes | Yes |
| Manage public access / Allow copies | No | Yes (with owner) | Yes |
| Best for | Read & ask; light review | Co-build the library | Final control |
- Personal Gmail: share with up to 50 users; you cannot share with Google Groups from a personal account.
- Group shares: when a notebook is shared with a group, users may not get welcome emails or notifications—tell them the link yourself.
- Wrong role = wrong risk: Editors can strip Sources or reshare; default to Viewer unless co-authoring is required.

2. Public link (“Anyone with a link”) & Chat View caveats
For broader distribution, set access to Anyone with a link, copy the link, and share it with people who have a Google account. Recipients must be signed in to open the shared notebook. A globe icon next to Share confirms the notebook is public. Only owners and editors can create or revoke that public link.
- Artifacts vs notebook: if you own a publicly shared notebook, you can also share Studio artifacts (Slide Decks, Audio/Video Overviews, reports). Anyone with an artifact link can view it even without signing in—stricter than the notebook URL itself.
- Chat View link: “Copy link to chat view” hides Sources/Studio for a focused chat UI, but Help warns it does not fully revoke underlying access—viewers may still reach materials outside the default chat experience. Do not treat Chat View as a redaction tool for confidential Sources.
- Revoke: set Notebook Access back to Restricted; old public links stop working for new visitors, and previous visitors lose it from their shared list. Deleting the notebook also kills links.
- Workspace / Education: org policy may block public links—verify before promising an open URL (same caution as in the Video Overview delivery step).
3. Allow copies & what “Copy Create” actually duplicates
If teammates need their own editable fork—not just live access—use Allow copies. In Share, you must already have shared the notebook with at least one other person, then check or uncheck Allow copies and Save.
- Allow copies ON: people you shared with can duplicate the notebook, including Sources and Studio artifacts.
- Allow copies OFF: they cannot duplicate the notebook itself, but they can still copy content they can see.
- Copy Create behavior: copies Studio content & Sources; Chat history and notes are not copied.
- Who can copy: notebooks you own; private notebooks shared with you that allow copies; publicly shared notebooks that allow copies.
Practical pattern: keep a “canonical” notebook Restricted + Viewer for stakeholders; enable Allow copies only on a sanitized teaching or onboarding notebook.
4. Play Books, analytics & Featured notebooks
Three edge cases that break “just send the link” plans:
- Play Books ebooks as Sources: you can share the notebook, but recipients may need to buy the ebook to view Sources or interact with artifacts; unpaid Play Books Sources appear grayed out. You cannot publicly share notebooks whose artifacts were created from Play Books ebooks. For eligibility checks and Add sources → Play Books steps, see NotebookLM Expert Intelligence.
- Usage analytics (past 7 days): available when the notebook is shared with at least 4 other users and has some chat activity; metrics are users/day and queries/day (including the owner); updates about every 24 hours. Paid public-notebook owners can also see analytics on public notebooks.
- Featured notebooks: curated consumer-facing libraries; as a viewer you can read Sources, chat, and consume pre-made artifacts but cannot generate your own or add Sources. The Featured tab is for consumer accounts—Workspace Enterprise/Education often reaches them only via URL.
5. Decision checklist: pick the share mode in 60 seconds
- One teammate co-building Sources? → Editor + no public link.
- Stakeholders who only need Q&A? → Viewer; avoid Chat View if Sources must stay hard-hidden (they cannot).
- Class or web audience with Google accounts? → Anyone with a link; scrub confidential Sources first.
- Each person needs their own fork? → Allow copies ON after a private share (or public + allow copies).
- Only need the Video Overview file? → share/download the artifact per the Video Overview guide—you may not need full notebook access.
- Hitting quotas while collaborating? → each user has their own compute pool—see flexible usage limits.
NotebookLM sharing is powerful because answers stay source-grounded for every collaborator—but every share expands who can see your library. Treat Share like an ACL change, not a social button.
